Office Administrator & Finance Assistant

To continue supporting our customers through our well-experienced and dedicated team, we are looking to recruit and join our growing team, a reliable, ready to work under minimum supervision, and highly motivated Office Administrator & Finance Assistant. Supporting our day-to-day operations, the candidate will be responsible to manage the financial, clerical and secretarial responsibilities by handling a range of administrative tasks.

Responsibilities:

  • Managing the front office duties by answering incoming calls, taking messages, and forwarding calls to recipients
  • Sorting and distributing daily mail/deliveries
  • Organise incoming/outgoing shipments as necessary
  • Ordering and maintenance of office supplies
  • Coordinating the meetings calendar and ensuring meeting rooms are set up and equipped for scheduled meetings
  • Undertaking general administrative tasks as required by the Management team
  • Serving as a point of contact for the team and clients, ensuring effective communication and timely responses
  • Assisting in coordinating company events, conferences, and meetings
  • Handling of travel arrangements as required
  • Supporting the Accounts Department’s daily functions as needed, including the preparation and posting of sales invoices and posting of supplier invoices, updating of daily accounts receivables, filing of documents, and other tasks as may be required by the Finance Executive
  • Handling the petty cash balance, record keeping, and performing monthly reconciliations
  • Assisting the CAMO team in organising and maintaining records and filing systems.
  • Assisting with the updating of social media posts and website

Requirements:

  • Being a team player
  • Have excellent organisational and communication skills
  • Highly attentive to detail
  • Good command of spoken and written Maltese and English
  • Proficient user of Microsoft Office
  • Capable of working under own initiative
  • Being proactive and self-motivated
  • In possession of an O or A Level qualification
